Administrative
Reports
This
section deals with administrative reports. The AFR system supports
templates that are intelligently pre-loaded with header information
where appropriate. Each report requires a Header Record to be established
by filling the appropriate information in the face page for each
report when initialy opened. Such information as Case Number, Incident
Number, Officer Name, Officer ID and so on used to track and associate
these administrative reports within the AFR and Records System.
Only
one template can be opened per face page (header record used for
tracking the report through the system and associating it with other
reports, cases, incidents or officers). Once completed these reports
can be sent through the system to a Watch Commander, Supervisor,
Other officer via the standard submission process. All reports are
saved automatically whenever there is connectivity to the host AFR
servers just like a crime report.
Multiple
templates are available for initial selection. Once a template is
selected another template cannot be selected for that report/header.
Reports entered with a Case Number or Incident Number will be automatically
associated and linked with that case or incident in the Records
System database.
When
the report is complete double click on the STOP button or exit,
the report will saved and will be displayed on the System Manager
screen with a report type of ADMN. The report can be sent via the
standard submission process to the WC or SGT, or sent directly to
another officer, printed and/or sent directly as a finished report
to the database (if the agency doctrine approves of this practice
without Watch Commander approval, otherwise all "Finished"
reports will be routed to the WC in the standard manner).
Using
this same methodology we can provide the means for The Department
to create its own templates and have them utilized within the AFR
system. Other AFR report processes include the ability to associate
voice recordings, images, diagrams and so on with Case or Incident
records within the AFR and RMS systems.
